The Marketing EA will be responsible for providing support to the President and Director of Operations by performing a wide variety of administrative, client and business development functions. This role could evolve over time to include key client relationship management duties, such as client activity tracking, client correspondence and preparation of client presentations

Principle Duties:
1. Provide administrative support to President and Director of Operations, duties include but are not limited to:
• Open client job tickets
• Draft RFP’s
• Maintain chronological list of RFP’s/presentations
• Prepare and update daily status/traffic reports
• Maintain client library of current ad campaigns
• Assist in filing client related documents
• Prepare client background research, including overview of client organization/key organizational initiatives as related to marketing & advertising.
• Revise, edit and proofread various documents
• Perform related clerical tasks such as photocopying, faxing, mailing and FedEx shipments and tracking
• Prepare standard correspondence as needed
• Create powerpoint presentations

2. Utilize and update client related databases on ongoing basis:
• Learn to utilize the existing client database
• Enter key activities into client records
• Look up client contact information
• Update database

3. Communicate and insure the company’s standard for formatting is applied to all correspondence, presentations and reports.

4. Perform special projects and assume certain responsibilities as assigned by the President or Director of Operations.

Specific requirements

  • Qualifications:
  • Bachelors’ degree with at least two years of administrative experience preferably in the marketing or legal field.
  • Intermediate powerpoint skills required with an intermediate to advanced level skill in MS Word and Excel.
  • Excellent writing and proofreading abilities with an emphasis on accuracy, spelling and punctuation.
  • Keen attention to detail
  • The ability to communicate effectively with clients and staff. Must be able to interact in a client service oriented environment with the ability to work collaboratively with others to deliver the best work to clients.
  • Excellent time management and organizational skills
  • Strong work ethic
  • Candidates should be comfortable taking initiative, eager to learn and able to work independently while being a team player.
