Specific Responsibilities:
· Responsible for coordinating and overseeing firm events such as client events, social functions, charitable/promotional events and seminars
· Coordinate event logistics including facilities, food and beverage, transportation, A/V equipment, and/or entertainment
· Attendance is required during events to ensure all logistical requirements are met
· Source and recommend vendors, suppliers, caterers, promotional items, offsite venues, and negotiate costs
· Post public event information on the Firm’s website using the Content Management Tool
· Create and monitor event schedules and budgets
· Gather and help prepare material and coordinate logistics for Powerpoint presentations and their formatting as required
· Identify and resolve event issues to minimize complications
· Build and maintain positive relationships with vendors, caterers, suppliers and firm partners
· Work with marketing team – assist with creation of the graphic concept in order to create event invitations, both print and electronic, and any required handouts
· Create, update, maintain, and correct event information in the firm’s database
· Ensure database list of sponsors, clients and contacts are maintained for invitation lists in the Firm’s Client Relationship Management (InterAction) software
· Ensure invitations are sent, maintain the RSVP list, and send out attendance confirmation emails
· Assist with the production and maintenance of the monthly events calendar
Specific requirements
- College diploma in Business, Hospitality Management or Event Planning from a recognized College.
- Minimum 3 years’ relevant experience working in a Corporate or Professional services environment. Experience in event management, logistics and marketing is essential.
- Demonstrated knowledge of event management principles, methods and techniques.
- Confidence and a high degree of comfort in dealing with lawyers (partners and associates) and senior management.
- A demonstrated ability to project manage, and efficiently handle competing and/or shifting priorities.
- Must be a resourceful self-starter with a creative streak.
- Exceptional planning, coordination, and negotiation skills
- Strong written, verbal, diplomacy and organizational skills.
- An acute focus on detail and accuracy as well as a highly developed customer service bias.
- An understanding that this is a critical service function and can require a longer day in order to get the job done.
- A team player with energy, initiative and good humour.
- Excellent familiarity with MS Word, PowerPoint and Excel. Experience with InterAction (or other CRM software) and Content Management Tools for website editing is considered an asset.
